HBK uses BPA Platform to automate business processes within Star Practice Management
Codeless Platforms today revealed that HBK (Hill, Barth & King), a US-based multidisciplinary financial services firm, specialising in a wide variety of tax, accounting, assurance and business consulting services, has benefitted from exceptional ROI, most notably to workload and resources, by using BPA Platform to automate the publication of its production reports to its internal system’s dashboard, as well as automate the generation and distribution of expenses, timesheets and welcome notifications.
“We are using BPA Platform for a lot of notifications and reminders, but we also use it to publish some of our production reports to our dashboard. It runs Crystal Reports and then publishes them to our dashboard on a monthly basis,” explained Ashlea Pollock, Associate, HBK. “Automating the production reports has probably saved me at least two days’ worth of work per month. The time that BPA Platform has saved us has been tremendous. The production reports were huge, as is the ability to verify information. But even just the menial tasks, such as reminders going out that I don’t have to do manually anymore, has had a significant impact on the business.”
Operating from offices in Pennsylvania, Ohio, New Jersey, New York and Florida, HBK uses Star Practice Management software, a powerful state-of-the-art time and billing solution from the UK, that also offers further modules for budgeting, scheduling, due dates/workflow and CRM. Users of the software can also add BPA Platform to their package to help automate numerous business processes, including reporting and notifications, which is what initiated HBK’s interest in the platform.
“I was on maternity leave when we first started researching BPA Platform’s capabilities,” said Pollock. “As I am responsible for managing the monthly production reports, the company needed to find a way to automate this process. We therefore decided to ask our Star consultant to install BPA Platform and set it up for us.”
With BPA Platform installed and running smoothly, it wasn’t long before Ashlea Pollock started to fully exploit its full capabilities; automating other business processes within the business.
“BPA Platform was very simple to start using. I can write code, but if I didn’t know something I was, and still am, able to drag and drop. I love that aspect of it. When I returned from leave I just took off with it; creating a number of tasks to automate a range of notifications that I realised didn’t need to be manual anymore. Basically, anything that could be scheduled,” said Pollock.
“For example, I have ones for checking fields on new client setups; welcome notifications that contain links and instructions for new employees; timesheet notifications for people that are short on their timesheets – telling them that they need to go in and finish them; notifications about wrongly coded time; and expense submission notifications. If an employee submits expenses every week a notification is sent to their expense approver informing them that there are expenses waiting for approval.”
“I am currently looking to use BPA Platform to automate some web forms for client onboarding and changes to jobs, as well as approval processes across the firm. We have a workflow for new hires that I would like to get moved over to BPA Platform as it’s currently a basic intranet platform with workflow capabilities, which is not ideal.”
